Expiration Reminder alternatives for staff certifications

Expiration Reminder does a lot, and its plans start at $49 a month. If your main job is knowing when your team's cards expire, these six options are worth comparing, including several that cost nothing for small teams.

Why look for an alternative

Expiration Reminder's plans start at $49 a month, or $44 a month billed annually, for 150 Expiration Items1. As people pick up more certifications, the item count climbs and so does the plan. It also tracks insurance certificates, vehicles and locations and sends text reminders1,2, which is more than some small teams need.

When you compare alternatives, four questions sort them quickly:

  • Who gets the reminder: the manager, the worker, or both?
  • How do card copies get in: typed, imported from a CSV, uploaded by staff, or read by AI?
  • What makes the price go up: items, seats, staff members, or nothing?
  • What else do you need to track besides staff cards?

The alternatives in detail

1. CertsDue

What it is
A tracker for staff Credentials. Each Staff Member uploads card photos from a personal link, AI reads the expiry date, the Manager confirms it, and email reminders go to the Manager. You also get a 30, 60 and 90 day dashboard and an audit PDF.
Good fit if
You track guard cards, OSHA cards, forklift or CPR certifications for up to 500 people and want staff to do the uploading.
Watch out for
It launches October 19, 2026 and has no reviews yet. The launch version has no text message reminders, mobile app, COI tracking or integrations. The trial after launch needs a card.

2. RenewalTracker

What it is
A general renewal tracker for licenses, permits, certifications, subscriptions, contracts and policies, with automatic email notifications.3,4
Pricing
Basic is $49 a month or $499 a year: unlimited items across 5 Groups, 3 full users, 3 view-only users and 1 GB of attachments. Basic Plus is $69 a month with 10 Groups.3
Good fit if
You track company renewals and staff items together and want a flat price as your team grows.
Watch out for
Its homepage and pricing page do not mention reading dates from documents or a staff upload link.3,4 The pricing headline says "Only $39 per Month", which matches no listed plan.

3. CertLister

Free to CA$49/month
What it is
A tool for issuing and verifying credentials that also tracks expiry. It can import credentials issued elsewhere from a CSV file, emails reminders to each holder, and offers admins a weekly digest.5,6
Pricing
10 free credentials every month. Basic is CA$19 a month (CA$15 billed annually) and Pro is CA$49 (CA$39 annually).5
Good fit if
You issue your own certificates, or you want holders reminded directly.
Watch out for
Prices are in Canadian dollars. Reminders are off by default for each category, and the expiry tracking page describes CSV import without mentioning photo reading.6

4. Mitti (formerly SafetyCulture)

What it is
An operations platform for inspections, training and tasks, with a Credentials feature on any plan. Workers add their own credentials in the web or mobile app and get notified 90 and 30 days ahead and on the expiry date.7,8,9
Pricing
Free for up to 10 seats. Premium is $24 per seat per month billed annually, or $29 monthly.7
Good fit if
You want inspections and training in the same app, or you have 10 people or fewer.
Watch out for
Pricing is per seat. The help article on adding your own credentials has you type the issue and expiration dates and does not mention automatic reading.9 Admin expiry alerts are not described.8

5. Connecteam

Free for up to 10 users
What it is
An employee app with a Documents feature. You set expiration dates on documents or document types, filter for Expired or About to expire, and send automatic reminders to users. Admins can be notified as documents approach expiration, and employees upload through the app.11
Pricing
The Small Business Plan is free for up to 10 users, and Connecteam's pricing page says it includes all hubs and features. On paid HR & Skills plans, "Set document expiration date" is listed on Expert: $99 or $119 a month for the first 30 users depending on billing, plus $3 to $3.60 per extra user.10
Good fit if
You want documents, HR and other employee tools in one app.
Watch out for
Below Expert, the paid HR & Skills plans do not list expiration dates.10 The documents guide does not say how many days ahead reminders go out.11

6. A better spreadsheet

What it is
Excel or Google Sheets with one row per Credential, a days-left formula and conditional formatting.
Good fit if
You track a handful of people and one person checks the sheet every week.
Watch out for
Google Sheets notification rules trigger on edits and form submissions, not on dates, so the sheet will not remind you.12

Several options cost nothing for small teams: a spreadsheet, Mitti's Free plan (up to 10 users, Credentials included), Connecteam's free plan (up to 10 users) and CertLister's 10 free credentials a month (checked October 2026). Among paid tools built for staff Credentials, CertsDue starts at $29 a month.

Which alternatives read expiry dates from documents?

CertsDue's AI reads the Credential type and expiry date from a photo or PDF, and the Manager confirms it. Expiration Reminder has its own AI DocScan feature. We did not find automatic date reading described on the pages we checked for the other tools (October 2026).
